Overview

Come grow with us by joining our team as a Commercial Sales Administrator!  In this role, you will play a critical role for the company and will work alongside other professionals within the team and other departments. You will be responsible for serving the Commercial Sales Team by providing prompt support in the presales, quoting, and post sales processes. They will work closely with all sales support teams in order to ensure the vehicle sale moves through the organization efficiently. Job duties include but are not limited to assisting in generating proposals, providing updates to sales team, escalating issues, providing complete documentation to VOS team, and getting quotes from external and internal sources. The Commercial Sales Administrator will be relied on for responsiveness, accurate details, and support focusing on the front end of the sales process. In this role, the employee will gain important skills allowing them to grow within the organization.

Responsibilities

Below is an overview of the duties and responsibilities you would take on in this role:

  • Serve as reliable and responsive resource for the Commercial Outside Sales Representatives by serving as a liaison between them and the rest of the organization.
  • Procure quotes as needed by the department from both external and internal resources.
  • Support the Sales Team by providing updates in the vehicle order processes from various departments involved in such processes from receipt of purchase order, through invoicing, vehicle registration, parts/purchasing, and shop inspection, to delivery. Elevate issues within the account management team and necessary departments, as appropriate.
  • Triage order of processing for other teams working on active deals, escalating high priority deals
  • Develop and maintain business relationships with internal customers and generate or update quotes for the organization’s products/services.
  • Provide support to sales team by answering product related questions promptly – pricing, marketing material and target customer profiles.
  • Scope, build, and review tools to inform Sales Team of relevant information to their sales. Including, but not limited to notifying ales of pending status’ of vehicles through the shop, DMV approval, Finance approval, etc.
  • Be an expert in the sales ordering process to assist sales, while escalating appropriately to find correct solutions
  • Expedite the resolution of holdups and delays in the sales process, in addition to customer issues and complaints.
  • Provide training and support to other Sales Admins
  • Responsible for the effectiveness of the other Commercial Sales Admins
  • Develop clear and effective written proposals/quotations for current and prospective customers to purchase vehicles.
  • Maintain knowledge of product lines to understand specifications and requirements

Weekly Tasks

  • Attend regional shop production meetings. Inform sales representatives if there are new issues regarding the vehicle(s).
  • Create a best method of communication to talk with each Commercial OS rep on a weekly basis.

New Deals

  • Ensure all documentation is filled out properly, and deals are “clean” before sending to VOS team.
  • Send Deals to appropriate VOS team.
  • Publish revisions to VOS team if needed.

General

  • This role will focus mostly managing vehicles through the sales process from signed BOC through to delivery. Second will be generating proposals as needed for sales reps.
  • Maintain the company’s current pricing tools utilized by sales representatives.
  • Generate regular reports to update staff on inventory finishing at the factory, aging inventory, etc.
  • Collaborate and strategize with Manager and assigned Commercial Sales Representatives to develop new tools increasing efficiency.
  • Other duties as assigned.

Qualifications

Minimum Job Requirements:

  • Associates or Bachelors Degree or Equivalent Experience
  • 1-2 years administrative experience required.
  • 2 years experience with fleet management companies or equivalent industry
  • Must be able to work flexible hours (including possible occasional weekends)
  • Must be results-orientated and able to work both independently and within a team environment.
  • Must be able to multi-task.
  • Demonstrated aptitude for problem-solving; ability to determine solutions for internal customers.
  • Must be a great problem solver and have critical thinking skills.
  • Must possess excellent verbal and written communication skills.
  • Proficiency in using Microsoft Office Suite (MS Word, Excel, Outlook, etc.) applications.
  • Valid driver’s license

Physical Requirements

  • Work is performed in an office environment
  • Will be required to stand, sit and move throughout office as needed
  • Should be able to lift up to 20 lbs.
