Overview

Come grow with us by joining our team as a Vehicle Billing Specialist!  In this role, you will play a critical role for the company and will work alongside other professionals within the team and other departments.  You will be responsible for accurate and timely invoicing and posting of the motor vehicle sales into the system with direct supervision. You will report directly to the Billing Supervisor.

Responsibilities

Billing & Invoicing

  • Review and process Daily Vehicle Invoicing with a high level of accuracy and timeliness
  • Produce sales invoices, Proforma Invoices, and quotations in an accurate and timely manner
  • Reconcile Customer Purchase Orders to Internal Sales Documents
  • Review applicable fees, including sales tax, DMV fees, and other transaction-related charges
  • Verify delivery statuses and confirm alignment with customer billing records
  • Resolve complex vehicle sales situations with minimal supervision

 

Accounting & Journal Entries

  • Review and post Daily Journal Entries for Vehicle Sales
  • Process accruals for pending costs in accordance with accounting standards
  • Apply Finance Points revenue recognition principles accurately
  • Maintain strong working knowledge of COGS, Gross Profit, and Gross Margin concepts

 

Analysis & Reporting

  • Perform Vehicle Costing Analysis and Review
  • Conduct Vehicle Profit Analysis review and variance comparison
  • Provide billing reports and financial summaries to management
  • Monitor Aging and Accounts Receivable reports; follow up on outstanding items
  • Provide general accounting support as needed, including audit preparation

 

Cross-Functional Coordination

  • Respond promptly to inquiries from Sales Representatives and the Service Department
  • Follow up on pending billing items and resolve discrepancies in a timely manner
  • Maintain a positive and collaborative working relationship with all sales-related departments

Qualifications

Education & Experience

  • Minimum 3 years of accounting experience, or AA/AS degree in Accounting or Finance

 

Technical Knowledge

  • Strong understanding of General Accounting Concepts and double-entry accounting
  • Strong understanding of the Accounting Billing Cycle and sales cycle components
  • Strong understanding of sales/use tax computations for vehicle invoicing
  • Strong understanding of sales/COGS accounting journal entries
  • Strong understanding of all aspects of vehicle invoicing, including trades, valuations, payoffs, and finance options
  • Familiar with basic costing principles and concepts of COGS, Gross Profit, and Gross Margin
  • Familiar with Aging and Accounts Receivable Reports
  • Intermediate to advanced proficiency in Microsoft Excel
  • Proficient in computerized accounting packages, spreadsheets, word processors, and email
  • Typing speed of 65 WPM; proficient with 10-key

PHYSICAL REQUIREMENTS

 

  • Work is performed in a professional office environment
  • Must be able to sit for extended periods and navigate stairs as needed
  • Requires good manual dexterity for keyboard and 10-key operation
